Accounts Payables or Receivables Document Management

THE PROBLEM:
The Accounts Payables department within any organization is often times swamped with paper-based information connected to the payment of an invoice generated by a company purchase order.

The Accounts Receivable department, depending on the company’s type of business, may also have a lot of paper trailing every invoice they issue their customer. Every organization has unique document types and retention schedules for their specific industry, however each accounting department faces the same fundamental document management needs.

Those management needs include controlling the information received from vendors and customers; faster, more accurate filing of documents; multiple access, storage and retrieval of current and previous account documentation; and document security. In each organization there must be some type of procedure in place for the filing of information and its retrieval when required to report account status and to support accounting decisions.

THE SOLUTION:
Edge2007™ is an image and information manager that facilitates the storage and retrieval of all account support documents.

Edge2007™ allows for all of the different types of information to be consolidated in electronic form and retrieved by easy-to-use queries. Whether the item of information is an image of a vendor or company’s check or the computer printout of a signed invoice, all of the information needed to do accounting functions is organized and managed by Edge2007™.

By entering the Customer Number, Invoice Number, or Vendor Number the user can retrieve a list of all images and related information about the selected account. Items consisting of Scanned Images, Adobe™, Sound, Video, Microsoft Visio™, Microsoft Office™, or text files can be displayed, mailed, faxed, or printed. The search for information can be further limited by selecting a specific Document Type.

The status of an invoice is just a few keystrokes or mouse clicks away. Edge2007™ can pull up the invoice and related images by a variety of index information, including but, not limited to invoice number, vendor identification number, or the invoice date. Resolving supplier disputes can be a time-consuming, costly effort. Quick access to images of invoice and payment information can alleviate those costs. And the ability to simultaneously and automatically route invoices throughout the A/P, purchasing and relevant end user departments offers productivity benefits as well. Edge2007™ can go further with Edge Workflow™ and custom modules, for example, by automatically matching incoming invoices with information in the purchasing database or to handle exception processing.

The Annotation feature allows items in the database to have electronic post-it notes. In other words, an image of a customer or vendor’s account evaluation may have a Microsoft Office™ document attached to it with information for future reference. Edge2007™ Front-end batch processing makes it easy to manage and index document capture with separator sheets. This provides a single TIFF multi-page image that includes all the transaction documentation to be stored, retrieved and archives when ready. Corporate Records Management

Edge2007™ when used for a Corporate Records Management System utilizes all of the standard Edge2007™ features for supporting multi-format document management including Scanned Images, Email and Attachments, Adobe™, Sound, Video, Microsoft Visio™ and Microsoft Office™ files within the client/server computing environment. The product provides ownership, versioning, access controls and logging to meet the Sarbanes Oxley Act.

After documents are scanned separately or in batches or imported they are indexed by up to 14 user defined fields including Folder #, Folder Name, Subject Type, Document Type, Document Date, Document Description, and Retention Date. Each Folder is given a Subject Type which allows the system to provide unique index fields for each different Subject Type (i.e. Contracts, Bonds, Minutes, etc.). Folders are classified using a Records Retention Schedule.

Searching the Records Management Database is performed through simple to use “By Example” queries utilizing the index fields. The user is presented a list of current and/or archived documents of which selection is made to display or print the selected document.

The easy to use design along with user security allows for both records management and other authorized personnel to search, view and print records based on group or individual access privileges.

Searching the TRANSPORTATION records database is performed through simple to use “By Example” queries utilizing the index fields The user is presented a list of TRANSPORTATION documents of which selection is made to display or print the selected document. The system stores and tracks the document type, folder type, driver, date of birth, address, division name, division number, date hired, date terminated, checked by, checked date and much more. POLICE RECORDS AND INCIDENT REPORTING

Police Records Management using Edge2007™ Imaging Information System utilizes all of the standard Edge2007™ features for supporting multi-format document management including Scanned Images, Adobe™, Sound, Video, Microsoft Visio™ and Microsoft Office™ files within the client/server computing environment. Design of the system provides for the management of all records associated with the Police department: Accidents, Arrest and Offense records are all tracked. Any of these categories of records have accident reports, arrest reports, citations, depositions and summons as associated document types. The document and folder types within Edge2007™ are user defined.

The scanned documents are indexed by document type, category type and/or scan date. The design of this module allows for manual entry of some of the indexes. Searching the Police Records database is performed through simple to use “By Example” queries utilizing the index fields. In both methods the user is presented a list of documents of which selection is made to display or print the selected document.

The Police Records Management, as a customization feature can be divided in three different “views” of the data/documents it contains. The Accident Records view tracks the name(s) associated with the accident, reporting officer, date of accident, Call For Service number (CFS #), and location of the accident. The Arrest Records view tracks the arrested person’s name, alias, date of birth, whether the person is a juvenile or not, location of arrest, date of arrest, associated persons in the arrest, Call For Service Number (CFS #), arrest number, and local police department number, if any. The Offense Records view tracks the name of the offender, location of the offense, associated persons in the offense, type of offense, date of the offense, Call For Service Number (CFS#), and Offense Number.

Tax Records

The Tax Records Management with Edge2007™ Imaging Information System utilizes all of the standard Edge2007™ features for supporting multi-format document management including Scanned Images, Adobe™, Sound, Video, Microsoft Visio™ and Microsoft Office™ files within the client/server computing environment. Design of the system provides for the management of all records associated with a tax payer: appraisals, tax assessment documents, legal documents and much more. Any of these records can be assigned a document type and is based on a user definition. The user definition can be updated and changed by the user.

The scanned documents are indexed by document type and scan date. The design allows for manual entry of some of the indexes. Searching the Tax Records database is performed through simple to use “By Example” queries utilizing the index fields. The user is presented a list of Tax Record documents of which selection is made to display or print the selected document. Query specifications can be saved for reuse at a later time.

Business Process Management interface is built into the Edge2007™ product and available through the purchase of the Edge Workflow™ Module rules based process management software which can manage approval, review and the acceptance/rejection process. Pre-defined business flows can be established with supervisory control, visual status, auditing, and logging features.

The system stores and tracks the tax payer’s account number, tax identification number, and location. Edge2007™ will store multiple documents in relation to each account number.

The Purchasing Process Management with Edge2007™ Imaging information System utilizes all of the standard Edge2007™ features for supporting multi-format document management including Scanned Images, Adobe™, Sound, Video, Microsoft Visio™ and Microsoft Office™ files within the client/server computing environment. With customization the system can be designed to provide for the management of all records associated with a purchasing department organized by five categories: auction, bids, miscellaneous, commodity and vehicle. Any of these records can be assigned a document type and is based on a user definition. The user definition can be updated and changed by the user.

The scanned documents are indexed by document type, batch number, cashier number and scan date. The design allows for manual entry of some of the indexes. Searching the Purchasing database is performed through simple to use “By Example” queries utilizing the index fields. The user is presented a list of purchasing documents of which selection is made to display or print the selected document.

The system stores and tracks documents first by file category and then by the related indexes to that category. All categories have a user defined document type index and a document date index. The Auction category index adds an auction type to the document. The Bids category index adds buyer, bid number, P.O. number, vendor number, department and a close date to the documents. The Miscellaneous category index adds name, subject and a notes field to each document scanned. The Commodity category index adds a commodity code to its documents. The Vehicle category index adds vehicle number, VIN number, plate number, and tag expiration date to its documents.

Public Schools Student Records

The Edge2007™ used as a Student Records Management application allows the user to easily maintain all records for students, including special education students. Demographic data, (i.e. name, address, etc.) is maintained for each student. This information can be downloaded from other systems on a one-time or reoccurring basis or entered and maintained by the Edge2007 user.

Each student is indexed by: Student ID Number which is automatically created by the system or the user can use existing numbers, Social Security Number (optional, entered when a student has one), Name, School Attended, Date of Birth, Date of Graduation, and Date of Withdrawal. The user can search for an individual student by any combination of the index fields. Once the student is located the user can view, print, mail, and fax the image of the student’s document, without ever touching the file folder.

Also the user can generate queries and print reports using Microsoft Access (included) of specific groups of students that meet specific criteria. For example, create a list of all the students that graduated from a specific school within a certain date range. Or perhaps, a list of all students that withdrew from a school or all students where the DOB is between two dates. Whatever the selection criteria you choose, the user can view the student’s individual records on screen, or print a report of the results. Reports can be sorted in the order of any combination of the index fields. For example, the sort order for a report could be all students by school, by birth date, etc.

The EdgeVault™ Management Secure Portal now integrates directly with Edge2007™ and Edge2007 Secure™. With the EdgeVault™ and Edge2007™ you can automate the process of making scanned material available on-line.

Automatic Metadata
Index fields extracted from scanned documents are automatically attached to the electronic version of the document. This allows for advanced searching, routing, and classifying of documents. Now client IDs pulled from a form can automatically route a document to appropriate client folders, and the document can be immediately discovered from simple search screens.

Customize
The EdgeVault™ scanning solution allows for powerful customization and modification. Use XML scripts to define business rules for the import process. Completely control all aspects of the import including security, destination, folder structure and metadata. Integrate your own behavior by creating simple Java objects.

Workflow
EdgeVault™ and Edge2007™ imaging and scanning solutions are directly integrated with Edge Workflow™ Framework. Fields from a scanned form can automatically launch the appropriate workflow, with the PDF version of the form directly attached.
