IDS Solutions with Process Management and Forms by Adobe®
Process Management Overview
With Adobe Document Services for process management, Integrated Digital
Systems ( “IDS”) , an authorized Adobe Partner, can provide for you a
solution that can:
Design once, deploy many times: Enterprises can scan
existing paper forms to convert them to Adobe® Portable Document Format
(PDF) files or forms, or they can use a graphic-based design tool to
create their own forms that appear on screen just as they do on paper.
Once created, the same form template and the intelligence it contains
can be deployed in multiple formats — Adobe PDF, HTML, and XML — to
users over any device: Web, PDA, e-mail, CD-ROM, and kiosk.
Build intelligent forms: Using Adobe solutions,
intelligence can be built into any form template to perform calculations
and validations and to enable database integration. The data can be
captured in XML to integrate easily with core business systems. The need
for manual re-keying of data is eliminated, preserving data integrity
and reducing inaccuracies. Enterprises can also extend their business
processes beyond the firewall at no additional cost to users by enabling
Adobe PDF forms with additional rights that let users interact with the
forms using only the free Adobe Reader®.
Support online and offline interaction: A key benefit of
a document-centric approach to capturing data is that users do not need
to be connected to core applications to provide the information. So
whether the user is an employee who creates field reports while at a
customer site or a constituent who is unable to finish filling out a
lengthy government form in a single session, Adobe solutions ensure that
users can complete forms at their convenience, with calculations and
validations in place to improve data accuracy.
Support digital signatures: To accelerate approvals
while ensuring the authenticity and integrity of a document, many
organizations are beginning to accept digital signatures as a
replacement for handwritten ones. As well, some governments have already
passed legislation that recognizes digital signatures as legally
binding. Adobe solutions support digital signature technologies from
leading vendors so that enterprises can leverage their existing security
infrastructures.
Bridge the paper-to-digital divide: For enterprises and
government organizations that need to process large amounts of paper
forms, we offer an Adobe Bar-coded Paper Forms Solution that bridges the
paper-to-digital divide. This solution automates the capture of
fill-and-print paper form data and efficiently integrates captured
information into an organization's core IT systems. By eliminating
costly and error-prone manual data entry, Adobe enables an organization
to realize the benefits of an electronic forms workflow, even when
digital processes break and revert to paper.
Adobe's workflow capabilities include:

Roles-based process management: Adobe solutions
enable enterprises to structure processes based on defined user
roles that can be separated from the names or even the titles of
individuals involved in the process. For example, an "approver"
could be a specialist, a manager, or a vice president, depending on
the process. Then when the person currently filling that role leaves
that specific position, the next person is automatically included in
the process without any additional configurations required. In
addition, Adobe solutions can integrate with existing user
directories (for example, LDAP) to simplify the administration of
role assignments.

Business logic enforcement: With Adobe solutions,
organizations can create a visual process map that defines the
unique business rules — such as deadlines, reminders, and
escalations — that will be implemented in the automated system. For
example, an organization might define that a form require three
levels of authorization before exiting the process, set up e-mail
notifications to all requested approvers, and automatically export
captured information to back-end systems as it is validated. The
business logic is also designed to respond to the data within the
form. For example, if an insurance claim is for less than US$5,000,
it only needs one level of approval, but if it is above that
threshold, the form will automatically be routed to the manager for
a second level of authorization. And the logic travels with the
document, so users do not have to be connected to participate in the
process.

Structured vs. ad hoc workflows: Information can be
routed and interacted with in a structured workflow, an ad hoc
interaction, or a combination of both. For example, a workgroup
might set up an online structured process for document approval, yet
allow users to pull the document out of the workflow, e-mail it to
others for offline review, and then reinsert the document into the
workflow until the process is completed. Support for ad hoc
processes allows human intervention at any point in an automated
process. For example, if the rules determine that a mortgage
applicant does not meet the standard criteria, a loan officer can be
notified to interact personally with the applicant to obtain further
information to approve the mortgage or to explain the reasons for
declining it, thus enhancing the relationship with the customer.

Process integration: Once an organization has
applied consistent business rules and logic to its processes, the
next consideration is integration with its unique environment. The
average company has seven core systems that contain the information
critical to running the business. More often than not, these systems
operate within departmental silos and do not communicate with one
another. With Adobe solutions, information within different core
systems can be accessed seamlessly via documents from within the
same process.
Document control and security
Overview
With Adobe Document Services for document control and security, you can:

Apply electronic and digital signatures to Portable
Document Format (PDF) files: Eliminate the need for users to print
and sign a physical document because they can create an electronic
signature that looks like a manual signature. Users also can obtain
a digital certificate from a trusted Certificate Authority to help
ensure authenticity.

Publish certified documents: Document recipients are
assured that the document was sent from the originator and has not
been modified since it was digitally certified and/or signed by the
author.

Control document access and usage: Organizations can
enhance protection of intellectual property, privacy of customer
data, and confidentiality of other sensitive information by enabling
authors to add controls that expressly define who can open, view,
print, copy, and modify a document.
